We are looking for a highly organized and proactive Operations Manager to support the founders and our finance leadership across finance, operations, people, and admin topics. You enjoy creating structure, coordinating across teams, and working on a mix of topics. You are also comfortable handling administrative tasks and like working behind the scenes to make teams, processes, and initiatives run smoothly. This role is based in Zürich (at Archlet HQ, Hardturmstrasse 132, 8005 Zürich). Working hours are flexible, and we would like you to be in the office 2-3 days per week.
- Help structure priorities, prepare materials, and keep follow ups and next steps on track
- Support internal communication, leadership updates, and selected investor related coordination
- Own the accounts payable process across our 3 entities (Switzerland, Spain, United States), including credit card reconciliations, and drive further automation where possible
- Support internal controlling, including variance analysis, cost control, and data integrity
- Support the accounts receivable process, including customer onboarding and other pre-invoice tasks
- Help run the annual budget cycle and keep teams aligned throughout it
- Support the year-end financial audit with our external auditors
- Plan and organize team weeks, offsites, and internal events
- Support recruiting by coordinating job postings, interviews, managing calendars, and ensuring a great candidate experience
- Support people operations such as feedback cycles, surveys, on- & offboardings, and internal process improvements
- Keep the office running day to day - from tidiness and restocking supplies and snacks to handling incoming mail
- First experience in a fast-paced environment such as a startup, scale-up, or consulting
- Diligent, structured, and detail-oriented, with strong organizational skills
- Confident working with Excel and PowerPoint
- Hands-on experience with LLMs (Claude, OpenAI)
- Proactive and reliable, and ready to take ownership
- Comfortable with shifting priorities and a degree of ambiguity
- Clear, professional communicator in English and German, written and spoken
- Discreet and trustworthy with sensitive information
- Analytical mindset with a genuine interest in process optimization, internal controls, and automation
- Curious about how SaaS companies work and scale
- Work closely with the founders and leadership team in a in a fast growing SaaS company with its headquarters in Switzerland and teams in Spain and the US
- Broad exposure to operations, finance and people topics in a B2B SaaS scale up
